Student Visibility Permission Overview
The Student Visibility Permission grants staff members access to the Teacher Page in Teacher Mode as well as the ability to view data and administer assignments for all students at their associated schools. This permission makes it easy for school leaders to organize classes for the purpose of printing forms, scanning students' responses, and setting up online access for students not rostered to them.
Note: The System Administrator Access Group has this permission enabled by default. For school leaders who may need this permission, you can either add them to the System Administrator Access Group, or you can create a Custom Access Group with only this permission.
In order to grant access to the Student Data Visibility Permission, from Admin Mode > Access Groups tab, create a Custom Access Group and enable the following permission under the Assignment & Data Management category:
Teacher Page
The Teacher Page is accessible in Teacher Mode by clicking the new Teachers icon in the lefthand navigation bar. Using the new Teachers icon, you can view all teachers in your school(s) without logging into Admin Mode! As a bonus, you can even click on a teacher's name and view their classes and data for assignments that have been shared with you. For full visibility of school-wide data, you can switch over to School Reporting Mode. If you do not currently have access to School Reporting Mode, you can submit a request to your school administrator.
Class Groups
As always, any classes you teach will show on the Classes page in Teacher Mode. However, thanks to the new Student Visibility Permission, you can now use the filter to view all classes in the school -- without having to switch to Admin Mode! If you don't teach classes, the All classes filter is your default view.
We've also added Class Groups to this page so you can put departments or teams into the same group and easily add online access or print and scan forms for other teachers. This is especially helpful when administering district or school-wide benchmarks or mock SAT or ACT tests to students who are not directly assigned to you. Assignment sharing rules still apply.
Note: All users with Student Visibility Permission will be required to create Class Groups to scan for students and classes that aren't assigned to them.
The Class Groups feature is only available to users with the Student Visibility Permission.
Best Practices and Recommended Use-Cases
Knowing that the Student Visibility Permission grants access to the Teacher Page, Class Groups, as well as data and assignment management for all students at your associated school(s), take note of the following example scenarios to determine which staff members in your organization should have this permission enabled.
Scenario #1
Role: Assistant Principal, Department Lead, or Instructional Coach Current Access Group: System Administrator Access Group Rostered classes?: Yes Need: You are currently part of the System Administrator Access Group in Admin Mode, which automatically grants you access to the Student Visibility Permission features in Teacher Mode. You also have your own classes rostered to you. With the Student Data Visibility Permission, you have access to view ALL students for the entire school, which makes it difficult for you to locate your own students when printing forms for an upcoming assignment. |
Recommendation: As a system administrator, you already have access to the Student Visibility Permission, which allows you to create Class Groups. Create a Class Group titled "My Classes" and add your rostered classes to the group. Now when you go to print forms or assign Online Access for your classes, you can select your Class Group titled "My Classes" instead of searching through ALL students and classes for yours. |
Scenario #2
Role: Assistant Principal, Instructional Coach, or Technology Specialist Current Access Group: School Support Access Group Rostered classes?: No Need: You need access to print forms (bubble sheets), scan student responses, and run reports to view data on all of the classes and students for your entire department. You do not have any classes or students rostered to you. |
Recommendation: Request that a system administrator at the school create a Custom Access Group for the Student Visibility Permission and add you to it. This will grant you access to create Class Groups for all of the classes in the department, print forms, and scan student responses for students not rostered to you. You already have access to School Reporting Mode as a member of the School Support Access Group to run reports on any assignments administered for the school. |
Scenario #3
Role: Curriculum Director Current Access Group: None Rostered classes?: No Need: You need access to print forms (bubble sheets), scan student responses, and run reports to view data on all of the classes and students for the entire school. You do not have any classes rostered to you. |
Recommendation: Request that a system administrator at the school create a Custom Access Group for the Student Visibility Permission and add you to it. You will want to request access to School Reporting Mode as well in order to run reports on data for the entire school. This will grant you access to print forms and scan student responses for students not rostered to you. |
Scenario #4
Role: Department Lead Current Access Group: Instructional Leaders Access Group Rostered classes?: No Need: You need access to print forms (bubble sheets), scan student responses, and run reports to view data on all of the classes and students for the entire school. You do not have any classes rostered to you. |
Recommendation: Request that a system administrator at the school create a Custom Access Group for the Student Visibility Permission and add you to it. This will grant you access to create Class Groups for all of the classes in the department, print forms, and scan student responses for students not rostered to you. You already have access to School Reporting Mode as a member of the Instructional Leaders Access Group to run reports on any assignments administered for the school. |
