Data sharing is an integral part of collaborative teaching and one of the most valuable parts of a Gradient for Schools and Districts subscription. There are so many different options for allowing staff to share data that it can be challenging to decide which option is best. This article is designed to explain the options available and help you decide which is most appropriate for you and your staff.
How does data sharing work in Gradient?
Options for data sharing can range from single classes between two teachers, to full school and district data visibility. Here is a brief summary of data sharing options:
- Viewing data for assigned classes: By default, teachers are only able to see data for students that are rostered in their assigned classes. Co-teachers have access to the same rosters of students and can view individual student data from shared assignments.
- Viewing data for other teachers' classes: In compliance with FERPA regulations to protect student personal identifiable information (PII), teachers can only view student data for their assigned students unless other permissions are granted within Gradient. Teachers can see anonymized student data from shared assignments for any class - View Data from Shared Assignments.
-
Viewing school-wide data: There are three ways for a staff member to view data for any student in their associated school(s).
-
School Reporting Mode allows staff to view student response data for all assignments in their associated school(s). It is granted to anyone in an Access Group with the Assignment & Data Management > Data Visibility > Access School Reporting Mode permission enabled. This permission is already enabled for all three default Access Groups.
- Teachers and staff with the Assignment & Data Management > Data Visibility > View data/administer assignments for students at associated schools permission enabled can view student response data for shared assignments and can also assign, print, and scan forms for any class in their associated school(s).
- Staff members with the Launch Helpdesk Session permission enabled can log in as any staff member in their associated school(s) and view assignments and student response data. This permission also enables the user to assign, print, and scan forms for that teacher. This permission is already enabled for all three default Access Groups.

Data Sharing Decision Map
Determining the best way to share data with your school staff can be challenging, as each school may have different policies and expectations. To help you make this decision, we have created a decision map that starts with a fundamental question, "How can I grant my staff permission to access data?" Follow the path that applies to you, starting from the left. Our recommended solutions are included in the yellow boxes. You can either view the decision map below or click on the embedded links in the downloaded PDF to access resources.
