Only users with the Student Visibility Permission will have the button to Scan for a Class Group. Members of the System Admin access group have the Student Visibility Permission by default.
Users with the Student Visibility Permission now have a more organized approach to scan forms for classes that are not directly assigned to them. Users will select the blue Scan for a Class Group button and seamlessly be redirected to the Class Group Scanning area.
All users with the Student Visibility Permission must create Class Groups to scan for students and classes that aren't assigned to them.
Scan for a Class Group Button
The blue Scan for a Class Group button is located on the left side panel of the Responses tab after an assignment has been selected. Click the blue Scan for a Class Group button to open the Class Group scanning area. Select a Class Group from the drop-down menu or create a New Class Group by clicking on the linked text. Once the Class Group is created and selected, start scanning as usual.
Users with Classes of Their Own
Users with their own classes and access to the Student Data Visibility Permission will need to either click the Scan Forms for My Classes button or the Scan for a Class Group button before scanning depending on the classes you wish to scan forms for.
1. Click Scan Forms for My Classes, and the scanner will initiate as usual.
- If the forms detected belong to a class that isn't yours, a clear error message will guide you.
2. Click the Scan for a Class Group button, and you will be brought to the Class Group Scanning area.
- Select a Class Group and start scanning. If no Class Groups have been created or the classes you are trying to scan for are not yet in a Class Group, create a new Class Group.
Users with NO Classes of Their Own
Users with NO classes of their own and access to the Student Data Visibility Permission will need to click the Scan for a Class Group button to scan forms into classes.
- Click the Scan for a Class Group button, and you will be brought to the Class Group Scanning area.
- If the forms detected belong to a student not in the selected Class Group, a clear error message will guide you.
- If the forms detected belong to a student not in the selected Class Group, a clear error message will guide you.
Best Practices for Form Scanning
- If you always print and scan Pre-filled Forms (ID bubbles removed) that are attached to a specific class, create an 'All Classes' Class Group and check the box to Select All Classes when creating your Class Group.
- When scanning Generic Forms (ID bubbles added) into a selected Class Group, ensure students are only rostered in one of the classes in the group to avoid being prompted after each scan.
